Uploading Proofs — Images, PDFs & PSDs
Supported file types, the 20 MB limit, multi-page PDF splitting, PSD handling, batch uploads, versions, and artwork labels in Proofed.
Everything you need to know about getting proof files into Proofed — formats, limits, batching, and how revisions and versions work.
Supported file types#
| Where | Accepted formats | Limit |
|---|---|---|
| Proof upload (order page) | PNG, JPG, WEBP, GIF, PDF | 20 MB per file |
| Cut editor source image | PNG, JPG, WEBP, GIF, PDF, PSD | 20 MB per file |
PDFs#
- A multi-page PDF is automatically split into one proof per page, labelled "Page 1", "Page 2", and so on — perfect for uploading a whole order's artwork in a single file.
- A single-page PDF is flattened to a crisp PNG for on-screen review.
PSD files (cut editor)#
Photoshop files are converted using the embedded composite image. That composite only exists if the file was saved with Maximize Compatibility enabled in Photoshop:
If you see a "no composite" error when uploading a PSD, re-save it in Photoshop with File → Save As and tick Maximize Compatibility, then upload again.
Batch uploads#
On the order page you can select multiple files at once for a line item. Proofed creates one artwork per file (or per PDF page), all sharing the same note to the customer — and you can attach a message template to apply a material preview to the whole batch.
Labels and notes#
Each artwork has two optional text fields:
- Label — a short identifier shown to the customer, e.g. "Front", "Back", "Sleeve". Essential when a single product has several designs.
- Note — your message to the customer about this artwork. It auto-saves as you type, and appears next to the proof on the approval portal.
Revisions and versions#
To revise an artwork after feedback, upload a new file onto that artwork (rather than creating a new one). Proofed:
- Increments the version number (v1 → v2 → v3 …)
- Resets the artwork's status to Pending so it can be re-reviewed
- Keeps every previous version and its comments in the history
When you resend, the customer sees the new version — with earlier feedback still visible for context.
Deleting artworks#
You can delete an artwork if it has no proofs yet, or while the order is still in Pending Design. Once proofs have been sent to a customer, artworks stick around to preserve the approval trail.
Sending#
Uploads never notify the customer by themselves. Proofs go out only when you click Send to customer — see Getting Started for the full flow.
